This notice explains what personal information Welcomat collects, why, and what you can do about it. It's written in plain English on purpose.

Who we are

Welcomat is a trading name of Marian Mihaies, a sole trader based in the United Kingdom. Address: London, United Kingdom. Marian Mihaies is the data controller for the information described here. You can contact us about anything in this notice at hello@welcomat.co.uk.

What we collect

• When you email us (directly or using the enquiry form, which only opens your own email app): your name, email address, business name and anything you choose to include in your message.
• If we contacted you first: we look for local businesses on Google Maps and on their own websites. From there we note the business name, its public phone number, public email address, website, address, opening hours, rating and a few public reviews and photos. We use these to make a free preview website and to send you one message about it.
• When you become a client: the information we need to build and run your website, such as your business details, text, photos and billing details.

This website does not use analytics, advertising trackers or cookies, and the enquiry form does not store or send anything by itself.

Why we use it

• To reply to your enquiry and give you a quote (our legitimate interest in responding to people who contact us).
• To contact a business once about a website that could help it, with a private preview made from its public Google Maps listing (our legitimate interest in finding customers). Each message says where we found your details and how to opt out.
• To deliver the work you've asked for, invoice you and provide support (to perform our contract with you).
• To keep records we are required to keep by law, such as accounting records.

We don't sell your information. If you tell us you're not interested, we stop straight away: we take your preview offline and delete everything we collected about your business from Google Maps and your website. We keep only your business name on a do-not-contact list, so you can't be contacted again by mistake.

Who else handles it

• Google Workspace provides our email.
• Cloudflare hosts this website and, like any web host, processes technical data such as IP addresses to deliver pages and protect against abuse.
• The example websites linked from this site load fonts from Google Fonts, which receives your IP address when you open them.

Some of these providers may process data outside the UK. Where they do, they use safeguards recognised under UK data protection law.

How long we keep it

Preview websites made for businesses we contacted are taken offline after 30 days and are hidden from search engines. Our record of who we contacted is kept for 12 months, except the do-not-contact list, which we keep for as long as we do this kind of outreach.

Enquiries that don't lead to work are deleted within 12 months. Client records are kept for as long as we work together, and financial records for six years, as required by HMRC.

Your rights

You can ask to see the information we hold about you, have it corrected or deleted, object to how we use it, or ask for a copy to take elsewhere. Email hello@welcomat.co.uk and we'll respond within one month.

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk. We'd appreciate the chance to put things right first.
